Financial optimization for restaurants

Your restaurant's
accountant,
in one place.

Sapience Flow keeps your books current, shows you exactly where the cash goes, and hands you a short plan every week to keep more of it. No new software to learn.

What we do

Three jobs, one team.

Most restaurants have a bookkeeper who records the past, and nobody who reads it. We do the recording, the reading, and the fixing.

Analytics

Every week you see where the money came in and where it went out — sales, food cost, labor, waste — in plain numbers you can act on, not a 40-page statement.

Efficiency consulting

We find the leaks — over-ordering, a vendor quietly raising prices, a shift that never pays for itself — and give you a ranked list of what to change first.

Restaurant accounting

Books that are reconciled and current, built around how restaurants actually run: prime cost, daily sales, tips, vendor bills, and the cash you can really spend.

What you get

A finance team that actually knows restaurants.

Not a once-a-year tax conversation. A weekly rhythm that keeps the numbers honest and the decisions quick.

Book a demo

A weekly operating dashboard

One page every week: sales, prime cost, cash, and the two or three things that need your attention now.

Monthly statements and a quarterly summary

Income statement, balance sheet and cash movement, reconciled and reviewed with you on a call — plus a quarterly performance rollup.

The KPIs that run a restaurant

Food cost, labor, prime cost, waste, and sales per labor hour — tracked every week and compared with your own history.

A plan you can run

Specific changes, ranked by what they're worth, with someone checking back on whether they worked.

A dedicated representative

One person who knows your restaurant, answers your questions, and never makes you explain it twice.

Who it's for

Built by operators, for operators.

We run a restaurant ourselves. Sapience Flow started as the system we built to understand our own numbers — then other owners asked for it.

“ You shouldn't need a finance degree to know whether last week was a good week. You should be able to see it on one page, on Monday morning, with a note about what to do about it. — Why we built Sapience Flow

What we do

Your tools. One financial picture.

You already generate the data every day you're open. We connect it, reconcile it, and turn it into reports a busy owner can act on.

Analytics

Your performance, measured weekly and explained in plain English.

  • Sales, food, labor and prime cost trends
  • Week-over-week and same-week-last-year
  • Menu and daypart performance

Efficiency consulting

Find what's costing you money and change it, in the right order.

  • Vendor pricing and ordering review
  • Labor scheduling against real sales
  • Waste, comps and menu pricing

Restaurant accounting

Books that are current, reconciled and built for how you operate.

  • Weekly reconciliation of sales and bank
  • Vendor bills, tips and payroll categorized
  • Month-end close your CPA will like

Weekly reporting

The rhythm that ties it together: one report, one call, every week.

  • Financial progress report every Monday
  • Monthly and quarterly executive summaries
  • Your questions answered by your rep
Why weekly matters

Earlier insight. Quicker adjustments.

A cost increase can run for weeks before it shows up in a month-end report — and by then it's already paid for. We flag the pattern while the week can still be saved, and every report ends in what to do about it.

Read-only connections

We can see your POS and books. We can't move money or change your systems.

Reviewed before it counts

Every imported figure is checked by a person before it reaches your report.

How it works

A tailored operating partnership.

Not software you're left alone with, and not a bookkeeper who mails you a PDF. A process, run with you, aimed at long-term success.

1

Analysis

We onboard your account, connect your POS, books and payroll, and sit down with the owners and managers to understand the operation and its goals. Then we reconcile, set the baseline, and build the reports around your priorities.

2

Optimization & strategy

You see the whole operation in one set of reports. We interpret the numbers alongside you, point out the weak points, and define a plan of action ranked by dollar impact and tailored to your restaurant.

3

Profit enhancement

We put the plan into action and track it. Weekly reports follow revenue, expenses, prime cost and KPIs, with money-allocation guidance so spending decisions get made in days, not quarters.

Getting started is easy

Three steps, mostly ours.

Read-only access, a baseline you can trust, and a first-month plan ranked by dollars.

1Connect your recordsPoint-of-sale, books and payroll reports. Nothing changes in your systems, and your staff learns nothing new.
2We review your financialsWe reconcile what's there, establish the baseline, and confirm the numbers actually tie before anyone acts on them.
3Prioritize the first adjustmentsInside the first month you get an action plan ranked by dollars, and the weekly rhythm begins.

Pricing

Simple monthly plans.
No long-term contract.

Two ways to work with us. Starting prices per location, month to month, and continuing is always your choice.

Model G

Growth

$1,500/ month
starting monthly price, per location

Everything in Performance, plus a finance partner who owns the target:

  • A monthly profit target we set together and own the plan to hit
  • 13-week cash forecast, annual budget, and budget vs. actual every month
  • Decision support: new hire, price change, equipment, second location
  • Vendor renegotiation prep and fee recovery from delivery apps and processors
  • Menu engineering twice a year from real contribution margins
  • Lender-ready financials and owner-pay planning when you borrow, expand or take money out
  • Priority support: next-business-day answers and a quarterly business review by video
Start with Growth

Starting monthly prices per location. Month to month, no long-term contract. A weekly strategy call and ongoing support are included on both plans. The final quote follows a records and scope review; additional locations are quoted separately.

Not included: historical cleanup, tax filings, payroll processing, bill payment and third-party software.

Pricing questions

Fair questions, straight answers.

Still unsure which plan fits? Tell us about your restaurant and we'll recommend one.

Can I cancel?
Yes — there's no long-term contract. Continuing is always your choice, month to month.
What isn't included?
Historical cleanup beyond standard onboarding, tax filings, payroll processing, bill-payment execution, and third-party software subscriptions are scoped and quoted separately, so the monthly price stays honest.
What do you need from me to start?
Read-only access to your records — sales, bank and card statements, vendor bills and payroll reports — plus about an hour with the owner or manager so we understand how the operation actually runs. We handle the rest of the onboarding.

FAQ

Questions owners ask us.

Fair questions, straight answers. Anything else? Send us a note and a real person will answer.

Do I have to switch my POS or accounting software?
No. We connect to what you already use — Toast, QuickBooks Online, xtraCHEF — and work from your payroll reports, bank statements and vendor invoices. Nothing to migrate, nothing new for your staff to learn.
What do I actually receive each week?
A one-page financial progress report: sales, prime cost, cash position, what changed versus last week and why, and the two or three actions we recommend. Plus a short check-in with your representative if you want one.
How much of my time does this take?
About fifteen minutes a week to read the report and make decisions. We handle the importing, categorizing and reconciling. You handle the restaurant.
Is my financial data safe?
Your data is encrypted in transit and at rest, connections to your systems are read-only, and every figure is reviewed by a person before it enters your books. We never sell or share your numbers.
How much does it cost?
Two monthly plans: Performance at $800 and Growth at $1,500 per location, month to month with no long-term contract. Both include a weekly strategy call and ongoing support. See the pricing page for what each includes; the final quote follows a quick review of your records and scope.
Can you work with my existing CPA?
Yes, and most do. We keep the books clean and current through the year; your CPA gets a tidy, reconciled close instead of a shoebox in March.
Can I cancel?
Yes — there's no long-term contract. Continuing is always your choice, month to month.
What do you need from me to start?
Read-only access to your records — sales, bank and card statements, vendor bills and payroll reports — plus about an hour with the owner or manager so we understand how the operation actually runs. We handle the rest of the onboarding.
